The U of A requires all full-time employees (30 hours or more per week) to complete an annual Conflict of Interest and/or Commitment (COI/C) Disclosure in accordance with university policy. A COI/C disclosure is required for all full-time employees, regardless of whether they have a conflict to report.
The COI/C task will be assigned to all eligible employees through Workday on Thursday, Oct. 15. As you complete this year's COI/C form, you'll see a few enhancements aimed at making reporting more intuitive, such as the ability to enter explanatory text immediately after identifying a potential conflict.
To satisfy the annual COI/C requirement for fiscal year 2026-27, full-time employees should complete their disclosure in Workday by Tuesday, Dec. 1, 2026. After this date, supervisors will review reports identifying employees who have not completed the requirement. Employees who remain non-compliant after Dec. 1, 2026, may be subject to administrative consequences as outlined by university policy. For assistance completing the COI/C disclosure, employees should follow these instructions.
Employees who have already submitted a COI/C disclosure in Workday since July 1, 2026, and who have no new actual or potential conflicts to report have already satisfied their annual disclosure requirement. Employees are encouraged to review their records and update their disclosures whenever a new actual or potential conflict of interest or commitment arises.
What Is a Conflict of Interest or Commitment?
A conflict of interest exists when personal, financial or other outside interests have the potential to affect, or appear to affect, an employee's university responsibilities. A conflict of commitment may occur when outside activities interfere with an employee's ability to fulfill their university duties.
Annual disclosure helps the university identify, review and appropriately manage potential conflicts while promoting transparency, accountability and compliance with state and federal requirements.
Outside Employment
University policy also requires all full-time employees (30 hours or more per week) who receive compensation from work outside the university to submit an Outside Employment (OE) Request in Workday.
An OE request should be completed before beginning outside employment and whenever a new outside employment opportunity arises. Employees with ongoing outside employment must also submit an updated OE request annually.
Employees who have submitted an OE request since July 1, 2026, and have no changes to report have already satisfied the annual requirement. Employees should review their records to ensure all outside employment activities are accurately disclosed and approved. For help completing an OE request, please refer to these instructions.
