Important Workday Tasks Available for All Employees Starting Sept. 15
From tasks designed to improve compliance and streamline processes to the recent enhancements released on Sept. 11, User Solutions is working to keep U of A faculty and staff informed about upcoming tasks and improvements available in Workday. Starting Friday, Sept. 15, employees will have access to five tasks that are designed to keep everyone up to date and aligned with university policies.
These tasks should be completed by Nov. 15.
Opt into Paperless W-2
This year, all university employees will receive their W-2 forms electronically through Workday. This secure method ensures quick access to W-2s while supporting the university's sustainability initiatives. Faculty and staff are encouraged to choose electronic delivery over paper copies delivered via U.S. Postal Service. Anyone who previously elected not to receive a paper copy will still have that election in effect.
Updating Work Space and Contact Information
Two related Workday tasks will hit every employee's inbox on Sept. 15: "Annual Notice: Work Space and Work Contact Review & Update." All employees are asked to review and, if necessary, update their work space and contact details. This information is vital in optimizing the U of A's procurement processes and serves various crucial functions, such as reporting, asset tracking and safety alerting. Additionally, an employee's work contact phone number is used to update the campus directory.
Annual Notice of Discrimination
All employees are asked to review the Prevention of Discrimination, Sexual Harassment & Sexual Assault document available in Workday. Once reviewed, clicking the "I Agree" checkbox and submitting it will remove the item from an employee's Workday inbox. The document can be revisited in each person's Workday Profile under the Career tab's Documents subtab.
Annual Notice of Protected Data
To adhere to federal reporting standards, all faculty and staff must review and update their personal data in Workday. Ensuring accuracy in race, ethnicity, veteran status, disability and other protected data is crucial. Upon task completion or if no updates are needed, a simple click on "Submit" will remove the item from your inbox.
Conflict of Interest/Conflict of Commitment, and Outside Employment Reporting
The COI/COC and Outside Employment reporting procedures will move into Workday on Sept. 15, with the exception of the InfoReady reporting for outside employment hours worked in fiscal year 2023 (July 1, 2022-June 30, 2023), which is due by Sept. 15.
All employees are required to disclose any known or potential conflict of interest/commitment. This integration simplifies the compliance process and aligns with university policies while providing a seamless experience. If an employee's circumstances change outside of the annual disclosure period with an actual or potential conflict of interest, employees are required to submit another COI/COC form.
As part of an ongoing commitment to improve the employee Workday experience, several enhancements were made to the Workday system on Sept. 9:
-
