Exciting Workday Updates Coming September 2023

The Department of User Solutions is excited to announce several upcoming improvements to Workday. Set to go live Sept. 11, these updates are designed to align with your needs, ensuring that your workday is smoother and more efficient. From enhanced functionalities to a refreshed interface, these updates promise an improved Workday experience that cater to employees’ productivity and satisfaction.

  • Real-Time Guidance with Error Messages 
    If you accidentally enter incorrect information in a required field, an error message will now appear immediately, alerting you to the issue you need to fix. When someone previously provided incorrect information or didn’t complete a required field, an error message wouldn’t appear until after trying to submit the form.

  • Streamlined Task Management 
    Experience the convenience of automated task refresh. As you complete tasks, they'll disappear from your view, while new assignments will seamlessly appear. This automated management of tasks ensures your to-do list is always current, making Workday task management a breeze.

  • Advanced Search and Filtering for Efficiency 
    Search and filtering within Workday are becoming more powerful. This update provides advanced parameters for searching and locating tasks, resulting in quicker access to the information you need. Spend less time searching and more time accomplishing your tasks.

Workday Tasks Arriving Sept. 15

These enhancements are just the beginning. Five crucial tasks that will be available in inboxes starting Sept. 15: 

  • Electronic W-2s: Starting this year, all university employees will receive electronic W-2s through Workday. Paper W-2s will be mailed out early next year, but everyone is encouraged to switch to only paperless to be more sustainable and avoid any potential mailing errors. If you've previously opted out, that preference won’t change. 

  • Annual Notice of Discrimination: Review and agree to the Prevention of Discrimination, Sexual Harassment & Sexual Assault document in Workday. 

  • Annual Notice of Protected Data: Please review and update your personal data in Workday to align with federal reporting standards for race, ethnicity, veterans status, disability and other protected data. 

  • Keeping Workspace Information Up to Date: Update your office and phone number in Workday for accurate reporting and optimized campus services. 

  • Conflict of Interest/Conflict of Commitment and Outside Employment now in Workday: Conflict of Interest/Conflict of Commitment and Outside Employment processes are being integrated directly into Workday for a simpler, policy-compliant experience. More information on easily completing these tasks coming soon. 

IMPORTANT: On Aug. 30, an announcement regarding Outside Employment was sent to campus. For clarification, individuals who have previously disclosed Outside Employment in 2022-23 fiscal year or need to disclose Outside Employment for the upcoming 2023-24 fiscal year should be aware of the following: 

  1. InfoReady: Use this process for confirming the hours worked during fiscal year 2023 (July 1, 2022, and June 30, 2023). 

  1. Workday: Use this process for reporting future outside reporting in which you need to request prior approval. 

If you were approved for the previous year and also require approval for future outside employment, both processes need to be completed. Your cooperation ensures a smooth continuation of your commitments.
